Cancellation Policy

Last updated: 29 September 2026

This Cancellation Policy explains how to cancel work you have engaged Trip Graber Pvt. Ltd. ("Trip Graber", "we", "us") to do, what notice we need, and what happens after you cancel. Read it together with our Terms and Conditions and Refund Policy, which covers the money side of a cancellation.

Three Different Things Can Be Cancelled

People use the word "cancel" for three quite different situations, and the rules are not the same:

  • A planning engagement – the advisory work you have asked our planners to do. Cancelling this is between you and us.

  • A booking – a flight, hotel, transfer or activity we arranged on your behalf. Cancelling this is governed by the supplier, not by us.

  • An agency engagement – consulting, integration, website or marketing work for a travel business.

Each is dealt with separately below.

Cancelling a Travel Planning Engagement

How to cancel

Email info@tripgraber.com with your name, mobile number and payment reference, and tell us you want to cancel. The cancellation takes effect from the time your email reaches us, not from a phone call or a message to an individual planner. We will confirm it in writing within one working day.

Before a planner has started

Cancel at this stage and there is nothing to pay. Any planning fee already paid is refunded in full.

After a planner has started

You may still cancel at any time, and we will stop work immediately. The planning fee is not refundable at this stage, because it pays for time already spent. We will send you whatever has been completed so far, so you are not left with nothing.

Cancelling the trip itself

If you cancel your travel plans after the plan has been delivered, the planning engagement is already complete. The planning fee stands. Any bookings made are cancelled under the supplier rules described below.

Cancelling a Booking We Arranged

Supplier rules apply

Where we have booked a flight, hotel, transfer, activity or insurance policy on your behalf, we did so as your agent. The cancellation terms of that supplier apply in full, including their deadlines, their cancellation charges and whether the fare or rate is refundable at all. Some are entirely non-refundable from the moment of booking. We flag this when we book, and it is set out in the confirmation the supplier issues.

How to cancel

Tell us in writing as early as you possibly can. Cancellation charges usually increase sharply as the travel date approaches, and a day's delay can cost real money. Include the booking reference, the traveller names and what exactly you want cancelled – the whole trip, or specific components.

We will request the cancellation with the supplier on the same working day wherever possible, and confirm back to you what the supplier has applied. We cannot cancel a booking retrospectively, and we cannot waive a supplier's charge.

Our service charge

Where we have separately charged a service fee for making or handling a booking, that fee covers our time and is not refundable when a booking is cancelled. Any additional time we spend processing a cancellation or chasing a supplier refund may be charged at our then-current rates, and we will tell you before doing so.

Amendments instead of cancellation

Changing dates, names or routing is often cheaper than cancelling and rebooking. Ask us before you cancel and we will price both options for you. Amendment charges are set by the supplier.

Cancelling an Agency Engagement

Notice period

Either party may end an engagement by giving 30 days' written notice. Either party may end it immediately if the other commits a material breach and fails to remedy it within 15 days of written notice.

During the notice period

Work continues as agreed unless you ask us in writing to stop earlier. Fees for the notice period remain payable. We would rather use that time productively, so we will offer to spend it on a clean handover.

Work in progress and third-party commitments

You remain liable for all work delivered up to the effective date of cancellation, and for third-party costs already committed on your behalf – advertising spend, licences, hosting, domain renewals and similar – even where the benefit falls after the engagement ends. We will list these for you at the point of cancellation.

Live advertising campaigns

Tell us in writing whether campaigns should be paused on the cancellation date or continue to run. If you do not tell us, we pause them, so that no further budget is spent without your instruction.

Handover

On cancellation, and once all outstanding invoices are settled, we return account access, credentials, source files and data that belong to you, and remove our own team's access to your systems. We aim to complete handover within 15 working days of the effective date.

If We Cancel

We may decline or end an engagement, and we will tell you plainly why. Reasons include a request that falls outside what we can do competently, a scope that has drifted beyond what was agreed, non-payment, a conflict with an existing client, or a request to publish or advertise something we consider misleading or unlawful.

Where we cancel for any reason other than your breach or non-payment, you are charged only for work delivered up to that point, and anything paid for work not delivered is refunded in full. Where we can, we will suggest someone better placed to help you.

Events Outside Anyone's Control

Where a trip or an engagement becomes impossible because of something neither party controls – weather, natural disaster, epidemic, strike, civil unrest, war, border closure or government action – neither party is in breach for failing to perform. Our planning fee for work already delivered remains payable, and refunds for bookings depend entirely on what the individual suppliers offer in those circumstances. We will help you pursue whatever is available, including waivers and credit vouchers.

Refunds

How a cancellation translates into money returned, how to request it, and how long it takes, is set out in our Refund Policy.

Changes to This Policy

We may update this policy from time to time. The revised version applies from the date it is posted on this page. Engagements and bookings agreed before a change continue under the policy in force when they were agreed.
